Job Summary:
The Benefits Coordinator plays a pivotal role in managing and administering employee benefits programs to ensure the well-being and satisfaction of staff members for one of our key clients. This position involves overseeing various aspects of benefits administration, including enrollment, communication, compliance, and resolving benefit-related issues. The Benefits Coordinator works closely with employees, administrators, and external benefit providers to facilitate smooth operations and provide exceptional service. They will sit directly at our client site in Overland Park, KS.

Essential Functions and Primary Duties:

    Benefits Administration:

    • Manage the enrollment process for new hires, including orientation sessions and coordinating with benefit providers.
      Process changes to benefits due to life events such as marriage, birth, adoption, or qualifying changes in employment status.
    • Maintain accurate records of employee benefits, including eligibility, coverage levels, and beneficiary information.
    • Respond to employee inquiries regarding benefits, resolving issues or escalating them as needed

    Communication and Education:

    • Develop and distribute communication materials to educate employees about available benefits, enrollment procedures, and any changes to existing plans.
    • Conduct presentations or informational sessions to educate staff members on benefit options, retirement planning, and wellness initiatives.
    • Serve as a resource for employees seeking guidance on selecting appropriate benefits based on their individual needs.

    Compliance and Reporting:

    • Ensure compliance with federal, state, and local regulations governing employee benefits, including but not limited to ERISA, ACA, FMLA, and COBRA.
    • Prepare and submit required reports to regulatory agencies, benefit providers, and internal stakeholders.
    • Stay informed about changes in legislation or regulations affecting employee benefits and make recommendations for policy updates as necessary.

    Vendor Management:

    • Coordinate with benefit providers, brokers, and third-party administrators to resolve issues, process claims, and address administrative matters.
    • Evaluate vendor performance and participate in the selection process for benefit providers, negotiating contracts and agreements as needed.

    Data Analysis and Process Improvement:

    • Analyze benefit utilization data, trends, and feedback to identify opportunities for improving benefit offerings or enhancing program effectiveness.
    • Collaborate with HR leadership and other stakeholders to develop and implement process improvements related to benefits administration.

    Preferred Qualifications:

    • Bachelor's degree in Human Resources, Business Administration, or a related field (or equivalent work experience).
    • Previous experience in benefits administration or a related HR function, preferably in a school district or educational institution.
    • Strong understanding of employee benefits laws, regulations, and compliance requirements.
    • Excellent communication and interpersonal skills, with the ability to explain complex benefit concepts to employees at all levels.
    • Detail-oriented with strong organizational and analytical abilities.
    • Proficiency in HRIS and benefits administration software.
    • Certification in HR (e.g., PHR, SHRM-CP) or Certified Employee Benefits Specialist (CEBS) designation is a plus.

    Licensure: To progress in this position, Coordinators are expected to study for and pass the Life and Health Insurance Exam.

    Minimum Qualifications

    • High School Diploma or GED required.
    • 1-2 years of relevant work experience in the insurance industry.
    • Ability to work in a team environment as well as independently.
    • Must maintain current required licenses and certifications relevant to field of expertise.
    • Proficient use of applicable technology.
    • Demonstrated ability to communicate verbally and in writing throughout all levels of the organization, both internally and externally.
